The Executive Assistant will provide high level executive support to the three Heads of School as well as project coordination and day-to-day administrative assistance to support the Schools/Faculty. This position is an integral part of the Schools’ Administration team which ensures administrative matters are actively prioritised and handled efficiently using sound judgement, initiative and discretion.
This position reports to the School Manager and has no direct reports.
Accountabilities:

- Proactively provide executive support and assistance, whilst exercising discretion, initiative and confidentiality at all times.
- Act as the first point of contact for internal and external stakeholders, maintaining effective channels of communication, interpreting requests and correspondence to prioritise.
- Undertake diary, email and document management, including the monitoring and prioritising of emails and assisting with the preparation of responses.
- Use superior interpersonal communication skills to initiate and maintain executive stakeholder relationships.
- Facilitate and plan meetings, including compiling agendas and other documents, preparing minutes and following up on allocated or outstanding meeting tasks.
- Manage travel arrangements including flight and transport bookings, itineraries, accommodation, conference registrations and any other travel related requirements for the Heads of School.
- Provide advice on the interpretation of UNSW Policies and Procedures and apply to all activities as appropriate.
Skills and Experience:
To be considered you will hold Australian Working Rights or Australian Citizenship. Visa sponsorship is not available for this appointment.

- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
- Strong written and verbal communication skills, with a high level of attention to detail for deliverables produced.
- High level organisational skills with proven ability to deal with multiple tasks, establish priorities and meet deadlines.
- Excellent interpersonal skills with ability to liaise effectively with all levels of staff and external stakeholders.
- Advanced level of computer literacy, working with a range of computer systems and applications, including, but not limited to Microsoft 365 products (Word, Excel, PowerPoint, Teams, SharePoint), Concur and travel management systems.
- Superior time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
- Project experience, with an understanding of the project life cycle and development of project plans, objectives and documentation.
